{"id":8297,"date":"2024-11-01T14:44:42","date_gmt":"2024-11-01T18:44:42","guid":{"rendered":"https:\/\/quad.bates.edu\/announcements-dashboard\/?page_id=8297"},"modified":"2025-12-11T15:44:04","modified_gmt":"2025-12-11T20:44:04","slug":"guidelines","status":"publish","type":"page","link":"https:\/\/quad.bates.edu\/announcements-dashboard\/guidelines\/","title":{"rendered":"Guidelines"},"content":{"rendered":"\n<p><em>Bates Now<\/em>&nbsp;is a daily email which provides an aggregation of campus events and announcements that reduces the volume of emails faculty and staff receive.&nbsp;Any member of the campus community wishing to share information with all faculty and staff via <em>Bates Now<\/em> may submit an announcement via the submission form on <a href=\"https:\/\/quad.bates.edu\/\" data-type=\"link\" data-id=\"https:\/\/quad.bates.edu\/\">The Quad<\/a>. All submissions will be reviewed and, when approved, included as a link in an upcoming <em>Bates Now<\/em>. <em>Bates Now<\/em>&nbsp;is moderated by the Vice President of Academic Affairs and the Dean of the Faculty\u2019s office. Posts suitable for inclusion in&nbsp;<em>Bates Now&nbsp;<\/em>are as follows:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>General Announcements relevant to employees, including retired faculty and staff.<\/li>\n\n\n\n<li>Events (speakers, programs, performances, and similar) occurring at Bates College for the Bates College Community.&nbsp;<\/li>\n\n\n\n<li>Events occurring nearby Bates where the event features a Bates faculty or staff member as a Bates representative, or where the performance pertains to their Bates professional development.<\/li>\n<\/ul>\n\n\n\n<p>Items not suitable for inclusion on&nbsp;<em>Bates Now<\/em>&nbsp;include, but are not limited to, the following:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Announcements of local events of note that do not have a Bates faculty or staff member as a Bates representative, or where the performance does not pertain to their Bates professional development. These events may be advertised on ForSale.<\/li>\n\n\n\n<li>Announcements for third-party fundraisers. These may be advertised on ForSale. While fundraisers may sometimes have a Bates tie-in, only college-sponsored third-party fundraising will be considered for&nbsp;<em>Bates Now<\/em>&nbsp;(including the annual Community Campaign and through employee enrichment).<\/li>\n\n\n\n<li>Political campaign activity and messages that favor or oppose candidates with or without stating their names.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Creating and Posting Announcements<\/h2>\n\n\n\n<p><strong>Deadline:<\/strong> Announcements must be submitted by <strong>4:00pm<\/strong> to be considered for the next day&#8217;s edition. <em>Bates Now<\/em> is not sent on Saturdays or Sundays or when Bates is closed.<\/p>\n\n\n\n<p><strong>Image Sizing<\/strong>: Images submitted with announcements should be formatted as a square, with recommended dimensions of 300 pixels by 300 pixels. Please do not include text in images. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"featured\">Featured Announcements<\/h3>\n\n\n\n<p><em>Bates Now<\/em> curators will evaluate announcements each day and identify those to mark as \u201cFeatured.\u201d These decisions will be informed by a consideration of a range of factors, including whether the message:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Is directly tied to our core principles or a core institutional initiative<\/li>\n\n\n\n<li>Is an administrative announcement that has widespread implications for a significant segment of the faculty and\/or staff<\/li>\n\n\n\n<li>Is timely <\/li>\n<\/ul>\n\n\n\n<p>In addition, a couple of other issues may be taken into consideration, including whether the message:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Is expected to be popular and\/or well-attended<\/li>\n\n\n\n<li>Represents substantial college investment<\/li>\n<\/ul>\n\n\n\n<p>The vast majority of announcements selected to be featured are for those things occurring on the day of the mailing. Please note that there is a 2 feature maximum in each <em>Bates Now<\/em> mailing, per entity submitting (groups, departments, individuals, etc.). To ensure that specific announcements are selected, please be sure to indicate which announcements you would like featured and when they would be ideally featured in the \u201cNote to Bates Now Manager\u201d section as you create your announcement.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Scheduling and Promoting Events<\/h2>\n\n\n\n<p>The event listings in <em>Bates Now<\/em> will be drawn from the&nbsp;<a href=\"https:\/\/events.bates.edu\/\">Event Management System (EMS)<\/a>&nbsp;(events.bates.edu). When you reserve space in EMS, you will be asked, \u201cWould you like this event included on the Quad website, the Bates Engage app, and considered for Bates Today\/Bates Now?\u201c Indicating \u201cYES\u201d will submit your event for review and publication. Events geared only to students will not be posted on <em>Bates Now<\/em>. If your event is off-campus or not in a reservable space, you may use the Off-Campus\/Non-Reservable form to create a listing for the event.<\/p>\n\n\n\n<p>If you\u2019d like to promote the event in advance of the event date, you should submit an announcement (see above). When submitting an announcement, you can specify an event or deadline date in order for the announcement to appear in the \u201creminders\u201d section, above general announcements.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Other Considerations<\/h2>\n\n\n\n<p>When using <em>Bates Now<\/em>, be aware that information you share via this system could be&nbsp;<strong>publicly visible<\/strong>&nbsp;on the web. Proceed cautiously with announcement attachments.<\/p>\n\n\n\n<p>If you would like to promote an event that includes a&nbsp;<strong>public screening of a movie<\/strong>&nbsp;or some other type of media, you must be in compliance&nbsp;with the college\u2019s policy on&nbsp;<a href=\"http:\/\/www.bates.edu\/ils\/policies\/access-use\/performance-rights-advisory\/\" target=\"_blank\" rel=\"noreferrer noopener\">Public Performance of Movies or Other Media<\/a>. Please ensure you are in compliance before submitting an announcement to <em>Bates Now<\/em> about your event. Questions about the policy may be directed to the&nbsp;<a href=\"mailto:cschiff@bates.edu\" target=\"_blank\" rel=\"noreferrer noopener\">Copyright Officer<\/a>.<\/p>\n\n\n\n<p>If you are including photography or other imagery with your announcement, be sure you have permission to use that media. Images in the public domain can be found in the&nbsp;<a href=\"https:\/\/commons.wikimedia.org\/wiki\/Main_Page\" target=\"_blank\" rel=\"noreferrer noopener\">WikiMedia Commons<\/a>,&nbsp;<a href=\"https:\/\/www.flickr.com\/commons\" target=\"_blank\" rel=\"noreferrer noopener\">Flickr Commons<\/a>, or in other web databases of public media.<\/p>\n\n\n\n<p>Should you need to&nbsp;<strong>change information in your announcement<\/strong>&nbsp;after it has been submitted, contact the dean of Faculty&#8217;s Office at&nbsp;<a href=\"mailto:campuslife@bates.edu\" target=\"_blank\" rel=\"noreferrer noopener\">mmeserve@bates.edu<\/a>.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Bates Now&nbsp;is a daily email which provides an aggregation of campus events and announcements that reduces the volume of emails faculty and staff receive.&nbsp;Any member of the campus community wishing to share information with all faculty and staff via Bates Now may submit an announcement via the submission form on The Quad.
